- Student Scheduling Overview:
- Homerooms: Primarily for elementary schools, used for daily attendance.
- Classes: Used by all grades (K-12) for report card marks, comments, and high school attendance.
Training: Student Scheduling (2min - 13min)
- Changing Student Schedules:
- Go to the student's record and navigate to "Schedule".
- Go to "Workspace".
- Select the course to drop.
- Select the new course using the top "Select" button (not the course request button).
- Filter by Grade Level: Helps narrow down course options.
- Valid Sections Only: Uncheck to view full classes if needed.
- Allow Conflicts / Allow Over Max: Select if intentionally scheduling conflicting classes or overloading a class.
- Click "Post" to save the changes.
- Verify the changes in the "Schedule" tab.
- Mass Adding/Dropping Students:
- Go to "Schedule" > "Master" > "Sections".
- Select the desired class.
- Go to "Roster".
- Adding:
- Click "Options" > "Add" > "Pull Students".
- Select the students and click "OK".
- Dropping:
- Select the students in the roster.
- Click "Options" > "Delete".
- Pushing Students into Multiple Classes:
- Go to "Schedule" > "Master" > "Sections".
- Select the homeroom or starting class.
- Go to "Roster".
- Click "Options" > "Add" > "Push Students".
- Select the students and the target classes.
- Click "OK".
- Publishing Schedules:
- Go to "Reports" > "Scheduling Reports".
- Select the desired report (e.g., Matrix).
- Choose to publish to the portal or print.

Q1 (13min): How to set up cross-enrolled students?
- A: Go to "Student" > "Options" > "Create Secondary School Association". Choose "Poll", set the year, search for the student, select, and click "OK".
Q2 (15min): How to add courses and change instructors, specifically for elementary (K-7)?
- A:
- Resources: Website > Getting Support > Start of School Tasks > "Steps for schools doing once/twice daily attendance...using MyEdBC report cards" (Steps 11-13).
- Adding Courses:
- "Schedule" > "Courses" > "Options" > "Add".
- Set school level to "All".
- Search for the course code (e.g., "MAE" for Arts Education).

- Creating Sections:
- "Schedule" > "Master" > "Sections" > "Options" > "Add".
- Select the course.
- Enter section number (1, 2, 3, etc.).
- Select the teacher.
- Choose the schedule term code (Full Year, Semester 1, Semester 2).
- Save. Elementary schools do not need to assign a specific block.
- Changing Instructors: Select the class, change the instructor, and save. Use the search/filter function to find classes by teacher.
Q3 (22min): Enrolling out-of-province students: PEN numbers?
- A: Enroll like any other student. MyEdBC generates PENs automatically overnight. No need for manual PEN requests. Request transcripts from the previous school.
Q4 (25min): How to fix the red exclamation mark on a student's transcript?
- A: Depends on the field. Usually indicates manual editing. Submit a help desk ticket with specifics for further investigation.
Q5 (26min): Enrollment start date for students transferring from other schools?
- A: Use the actual start date at your school. If the previous school is slow to withdraw, use today's date and edit the membership record later with the correct date.
Q6 (28min): Can a student be registered at two different high schools?
- A: Yes, this is called cross-enrollment. Determine the school of record (usually the one with the most courses). Communicate with the other school to avoid course duplication and ensure accurate transcript information. Funding implications may exist; consult with the ministry.
